Zürcher Oberland Medien AG, one of the leading publishers in Switzerland implements Elvis DAM, helping them to manage and centralize their growing library of media assets.

Case study by Elvis DAM Gold Partner 3f8h.net

The task

The Zürcher Oberland Medien AG, headquartered in Wetzikon is one of the leading publishers in Switzerland. The company was founded in 1870 as a book printer Wetzikon AG.

The traditional daily newspapers “Zürcher Oberland” and “Anzeiger von Uster” reach over 70,000 readers daily. The free weekly newspaper “regio.ch” with a total circulation of 90,000 copies is published in the districts of Hinwil, Pfaeffikon and Uster.

In addition, the website www.zol.ch has developed 1.5 million page views a month to become the leading regional news portal in the canton of Zürich.

The publisher had previously worked with systems such as Cumulus, FotoStation and FotoWeb. Pictures, articles and layouts were stored in different places. In the light of the continuously increasing amounts of data, the Zürcher Oberland Medien AG was looking for a new solution: a centralized digital asset management system (DAM) system.

The goal

The new DAM system should make it easier for employees to select, edit and process digital content in an application. Essential requirements were also the central storage of data and the combination with the publishing system WoodWing Enterprise and Enfocus Switch automation software.

The solution

3f8h.net / electronic publishing planned and implemented the project, the key component being the installation of the DAM software Elvis DAM from Dutchsoftware including the migration of existing systems. In addition 3f8h.net trained key users and is responsible for the ongoing maintenance and enhancements.

Elvis DAM was installed on a highly available VMware cluster. Several MacMini servers act as processing servers. Elvis is installed in the entire company and 20 users can simultaneously access the digital assets that are highly available on a NetApp cluster.

Various plugins for Elvis were configured and developed by 3f8h.net in order to import assets in certain places, using specific criteria like metadata or time. These criteria are also used to delete, move, and archive assets.

In addition, Elvis was integrated with Enfocus Switch to automatically add metadata based on specific locations.

The result

Elvis DAM opened many new opportunities and saves time in daily editorial.

For the complex image archives of the Zurich Oberland Medien AG, Elvis offers many advantages with its versatile and powerful media search engine technology:

• More than 1,000 news images from vendors like Keystone will be imported per day in Elvis for review. Elvis automatically deletes photos that are not used (using the metadata) after 14 days.
• External Photographers use their Elvis client to upload images directly to the appropriate departments. During the import they must fill in required fields such as photographers name, event and venue.
• Editors select images in Elvis, and then put these images in a collection. These can be exported into the WoodWing production workflow to the proposed title: the content will be available for the InDesign user.

For managing all company logos and stoppers the Elvis drag-and-drop feature is handy: Assets can be dragged directly on an InDesign Layout.

The PDF archive of all the newspapers with 250,000 newspaper pages is now much easier to search and manage: all PDFs-are full-text indicated. The internal editors will use the archive for their research, but also external partners and publishers can access it. Editors can easily send pages from the archive using Elvis e-mail function.

Andreas Stutz, deputy editor of the Zurich Oberland Medien AG:

“From the beginning, 3f8h.net managed the project in a very competent way and they were always available. During the implementation phase 3f8h.net reacted promptly to minor issues, making sure the production-critical systems were always available. Elvis DAM supports our cross-media approach for media design perfectly and has simplified and optimized the cooperation with our external image suppliers.”

3f8h.net / electronic publishing company supports the planning, selection and implementation of software and hardware solutions for the graphic arts industry. The team led by Sebastian Nafroth approaches its customers’ projects always as a whole: from in-depth problem analysis to thorough user training. In a separate lab the customer environment can be simulated and software can be pre-configured or customized. This approach ensures direct technical assistance in case of specific needs and customization.

February 24, 2012 – Amsterdam, the Netherlands – UBM Medica Australia, the medical division of UBM (United Business Media) has implemented Elvis DAM as their central digital asset management solution.

Employees of the flagship title Medical Observer will use Elvis DAM to manage selection, editing processes and further distribution of their digital content. The main benefit is the centralization of the growing amount of images, news articles and layouts, previously stored in various locations. The produced content for print, online and epaper will be automatically archived in Elvis DAM.

Australian implementation partner for Elvis DAM, Creative Folks will supervise and perform configuration analysis, implementation and training. Creative Folks have been implementing Elvis in Australia since its initial release.

“We’re very excited to have UBM Medica joining the list of australian media companies using Elvis”, says Bastiaan Born, Commercial Director at dutchsoftware.com. “It really proves that the right solution crosses boundaries”.

Elvis DAM 2.6 is digital asset management software that helps companies manage, control and monetize their digital content. Elvis DAM has the most powerful media search engine in DAM today, has an intuitive user interface and a powerful API with open source web interfaces and desktop client plugins.

A Case Study provided by Elvis DAM Gold partner 3f8h.net

The task

Würth AG Switzerland is specialized in assembly and fastener material and is part of the worldwide Würth Group, based in Germany with a branch office in Switzerland (www.wuerth-ag.ch)

The product range includes over 100,000 products, including screws, screw accessories, chemical products, furniture, construction fittings, dowels, fire protection, hand tools, machines, labor protection, auto parts, diagnostics equipment, garage equipment, vehicle equipment and storage and retrieval systems.

With over 640 employees in management, sales, marketing, logistics and e-business, the company serves approximately 50,000 Swiss customers.

Würth AG Switzerland produces their extensive product catalog with pictures and descriptions themselves. To manage the wealth of graphical data, the company already used a Digital Asset Management system (DAM) system, but it was not fast and efficient enough. Additionally, they tried to port the database on a high-availability Windows host system and to bind the existing OSX systems to the Windows environment.

The goal

Würth AG needed a new DAM system. It would have to meet all the requirements to effectively manage assets in a heterogeneous system and to enable links with various applications. Not only Würth employees would need to access the DAM system, but the same DAM would also need to be available for external partners.

The solution

3f8h.net / electronic publishing managed this project from planning to implementation. The focus was on the installation and configuration of the new Digital Asset Management software Elvis DAM, with its versatile and powerful media search engine technology. Also important was the migration of data from the old to the new system.

In an excellent co-operation with the IT specialists of Würth AG Switzerland, the Elvis DAM software has been integrated into the existing system. For this purpose, a virtual host system running Windows Server 2008 R2 has been deployed. A MacMini with OSX Leopard Server serves as a processing node, in order to reliably and efficiently generate thumbnails of assets.

3f8h.net could easily migrate the database into Elvis DAM. A simple web interface was developed using the API of Elvis, which provided the product manager at Würth AG Switzerland with previews, information, and downloads. Assets for external partners will now be available through the Elvis web client, shared with a simple e-mail link.

The result

With Elvis DAM, Würth has a modern DAM solution for dealing with the immense number of different assets for the production of catalogs and other graphic applications. Elvis gives a clear overview, because it indexes, processes and manages images and documents as well as videos and audio. Supported by the high-availability hardware it provides semantic search and dynamic filtering options, and results in milliseconds.

All existing metadata is extracted and is added to the Elvis search index. Company specific metadata can be added, which together with the previews, makes it easier to find matching files. The use of Elvis is intuitive. Users can customize the user interface to their individual needs.

Product managers, sales representatives and graphic designers can allow other people to access the digital assets, internally and externally, via a Web portal or send them content by e-mail link. The sender can set permissions for preview, download or upload of digital assets. If the recipient has a user account on the Elvis server, the link opens the desktop client. When not a registered Elvis user, the link opens in a free browser-based view of Elvis.

The check in / check out feature allows the user to edit the content directly in desktop applications, while locking it temporarily for other users. When the user checks the file in, Elvis overwrites or alternatively represents the modified version with a link to the original one.

Erol Celiko, IT Systems Manager at Würth AG Switzerland:

“Personal contact was flawless. The project implementation by 3f8h.net went smoothly and in coordinated fashion. Sebastian Nafroth and his team responded quickly and were accommodating to all requests. Additional requirements were implemented competently and efficiently.

Elvis was immediately accepted by our users. Cataloging and managing digital assets is now easier and faster. The new DAM system with its additional features provides further incentives for improvements in process management. Our content is now highly available at all times. The new Elvis Web Portal has been particularly well accepted by the users.

Elvis has improved our asset management. ”

3f8h.net / electronic publishing company supports the planning, selection and implementation of software and hardware solutions for the graphic arts industry. The team led by Sebastian Nafroth oversees the projects of its customers as a whole: the depth of problem analysis to user training. Environments can be simulated in a separate lab with clients, for example, to adjust workflow products to specific needs or to adjust for errors in graphical applications. 3f8h.net also provides direct technical assistance.

German certified Elvis DAM implementation partners mediafluxx and 3f8h.net/electronic publishing have teamed up to perform the full implementation, including installation, configuration, training and first-line support. Bastiaan Born, Commercial Director at dutchsoftware.com, says: “The Elvis DAM implementation is a huge step forward for Bonnier Media, it allows them to centralize and gain easy access to their digital content. They can now start to monetize their digital intellectual property”.

Elvis 2.5 offers the most powerful media search engine in the DAM market today and has an acclaimed intuitive user interface. On top of that Elvis 2.5 introduces a new API with open source HTML5 and AIR sample clients. These will allow business partners and customers to create and customize their own syndication site, video portal, mobile viewer and more.
